GENERAL DESCRIPTION 

Maintains attendance records and completes secretarial, clerical and computer operations for the assistant principal and other administration by performing the following duties.  

 ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned.

 Schedules appointments, handles correspondences, telephone calls, bulletins, memos and general reports from the assistant principal.
Performs clerical duties including door security, typing, filing, answering phones and providing information as requested.
Maintains accurate and complete attendance records for all students.
Prepares attendance reports, call sheets and other various attendance reports as appropriate.
Enters and maintains current data in the schools computer.
Makes and receives phone calls from parents regarding attendance issues.
Writes passes for students, clears class cut slips or refers to administration.
Maintains student files with copies of passes.
Prepares and sends out 10/15 day absence letters.
Proofreads for various publications.
Coordinates and performs multiple tasks for summer school including, but not limited to answering calls and requests from parents, registering and collecting tuition, preparing class lists, assembling materials for teachers, maintaining attendance records, sending out report cards, updating grades into the computer, preparing statistical report for Board minutes and preparing teachers hours for the payroll department.
Performs multiple opening and closing of school year activities as applicable.
Maintains office equipment such as copy machines, fax machines and printers.
Assumes responsibility of maintaining up to date knowledge of technology utilized by the district.
 SUPERVISORY RESPONSIBILITIES 

 This job has no supervisory responsibilities.

 QUALIFICATIONS

 EDUCATION and/or EXPERIENCE 

 High school diploma or general education degree (GED) or one to three months related experience and/or training or equivalent combination of education and experience.  Experience with personal computers is required.  Experience with office machinery is required.  Experience using the district selected computer software is required.

 LANGUAGE SKILLS 

 Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.  Ability to read, write and comprehend simple directions, short correspondence and memos.  Ability to communicate effectively with students, parents, colleagues and administration.  Ability to respond to common inquiries or complaints from students, parents, agencies, teachers or members of the school community.  Ability to effectively present information in one-on-one and small group situations to staff, students and administrators.  

 CERTIFICATES, LICENSES, REGISTRATIONS 

 Current drivers license

 OTHER SKILLS AND ABILITIES

 Must possess basic skills in reading, writing and math for the purpose of inventory, record keeping, making necessary measurements, reading of gauges and instruments, mixing chemicals or other related items as applicable.  Ability to apply common sense understanding to carry out written or oral instructions.  Ability to solve practical problems and deal with a variety of variables in situations that may arise.  Ability to maintain composure under stressful conditions.  Ability to develop effective working relationships with students, staff and the school community.  Ability to use computers where applicable.  Ability to perform duties with awareness of all district requirements and Board of Education policies.
