2022-23 Secretary/Receptionist


The CCESC is seeking Secretary/Receptionist for the 2022-2023 school year. The position involves providing assistance and support to the administrative staff and/or programs assigned. This individual contributes to the smooth and effective operation of the CCESC office and its programs by handling a wide variety of routine secretarial tasks promptly and courteously. The Secretary provides excellent customer service to all visitors and maintains a high level of confidentiality of office matters including students, parents and staff.

Successful candidates will have education and at least two years of related work experience commensurate with the essential functions of the position.

POSITION DESCRIPTION:  Under general direction, the Secretary provides assistance and support to the administrative staff and/or programs assigned.  This individual contributes to the smooth and effective operation of the CCESC office and its programs by handling a wide variety of routine secretarial tasks promptly and courteously. The Secretary provides excellent customer service to all visitors and maintains a high level of confidentiality of office matters including students, parents and staff.

MINIMUM QUALIFICATIONS:  To be qualified for this position, applicants must be 18 years of age or older and possess:

·         High School Diploma or Equivalent;

·         Ability to provide appropriate references;

·         Knowledge of office procedures and operation of common office equipment and machines;

·         Ability to maintain a high degree of confidentiality;

·         Willingness and ability to work as a team member and with the public;

·         Ability to exercise independent judgment;

·         Computer expertise and typing skill (word processing) appropriate to the position;

·         Effective and demonstrated problem solving, critical thinking, analytical, oral and written communication, and organizational skills;

·         Valid driver’s license and/or provide own transportation;

·         History of strong work record, including good job attendance;

·         Documented evidence of participation in mandatory annual trainings (i.e. SafeSchools) and;

·         State and Federal Background checks free of infractions as required by Ohio law and Board Policy.

·         Handle correspondence, telephone calls, appointments and all other day-to-day matters incidental to the operation of the assigned department;

·         Perform difficult and advanced work requiring considerable independent judgement and discretion, while maintaining respect at all times for confidential information;

·         Function as Receptionist when necessary, providing excellent customer service by greeting and assisting visitors;

·         Maintain files and records incidental to the functions of the assigned department;

·         Screen and return phone calls upon instruction of the administrative staff member(s);

·         Maintain accurate itineraries of administrative staff assigned;

·         Maintain supplies for office staff and field staff;

·         Maintain student class list to inform quarterly student billing;

·         Publish and distribute newsletters/bulletins or other documents relative to the department assigned;

·         Maintain, update and distribute information lists on a timely basis, to contact personnel with the CCESC as well as those with the school districts served;

·         Attend department meetings and/or other meetings (as assigned) for the purpose of recording minutes;

·         Work cooperatively and in a supportive manner with other secretaries and departments;

·         Assist in maintaining records as required by law, school policy and administrative regulations;

·         Complete required paperwork in a timely fashion;

·         Operate office machines, technology and equipment appropriate to the position;

Maintain high standards of ethics, honesty and integrity in all matters;
Comply with all Board Policies and Administrative Guidelines;
Arrive on time to work each regular work day;
Be in attendance every regular work day, excluding long-term illnesses, medical leaves, and other unique circumstances;
Maintain strict confidentiality regarding all district, personnel and student information as required by federal, state and local policy;
Be able to be adaptable and flexible with changes, updates, processes, and procedures;
·         Other secretarial services may include:

o    Serving as Webcheck administrator;

o    Database construction and management;

o    Data entry;

o    Supporting district child nutrition services; and

·         Perform other tasks, consistent with the position, as may be assigned by Superintendent and/or designee.



·         Willing to attend workshops/training courses.

·         Willing to work overtime, non-standard hours and/or weekends.

·         Respond to routine questions and requests in an appropriate manner.



Knowledge of: Basic office procedures and operation of office equipment and machines; student information systems (e.g. DASL, Progress Book, EMIS, etc.), staff information systems (e.g. ReadySub, AESOP, OnBase, etc.) board policies and procedures, staff handbook, Licensure Code of Professional Conduct for Ohio Educators, appropriate school law, and requirements of the Ohio Department of Education.


Ability to: Interpret policies, procedures and regulations; follow instructions; communicate effectively; maintain calm demeanor; maintain confidentiality, collect and analyze data; schedule; organize; operate office equipment and other related technologies; move/lift moderate amounts of weight up to 50 pounds, and maintain equipment.


Skill in: Clerical tasks, effective communication, phone/email etiquette, math, multi-tasking, use of computer and appropriate software applications (Microsoft Office or equivalent), printer, and other customary equipment.





Computer and/or tablet, printer, scanner, filing cabinets, telephone, copier, fax machine, laminator, shredder, calculator, and other related equipment.



Occasional:, Walking, climbing, stooping, kneeling, crouching/squatting, bending, twisting/turning, reaching above shoulders, regulating emotions and moving/lifting amounts of weight up to 50 lbs.


Frequent: Standing, sitting, typing/keyboarding, and math.


Continuous: Reading, writing, concentration, attention to task, problem solving, task completion, memory, following directions, hearing, seeing and organizing/planning.



Occasional:  Exposure to inclement weather driving conditions, loud noise, offensive odors, students with challenging behavior, repetitive hand motion, blood borne pathogens, contagious diseases, and bodily fluids and tissue.


Employees are required to follow all district safety rules and procedures, and participate in school safety training when requested.

The employee shall remain free of any alcohol or non-prescribed controlled substance in the workplace throughout his/her employment in the Center.
